Insurance Well Done

Bookkeeping, taxes, and insurance that talk to each other

Books Well Done and Insurance Well Done are two separate firms run by one family. A business that uses both gets one conversation about payroll, premiums, audits, and tax returns instead of three or four.

Separate firms, same family, one conversation.

What Insurance Well Done does

Insurance Well Done is a Florida insurance agency for medical practices. It is run by Fabio Pereira, PA-C, a licensed 2-20 General Lines agent who has worked inside the practices he insures. It's based in Orlando and serves medical practices across Florida.

Coverage for the practice:

  • Workers' comp (pay-as-you-go). Billed from each payroll run instead of estimated a year in advance, so clinics with changing staff avoid the year-end audit bill. Florida requires it for non-construction businesses with four or more employees.
  • Business owner's policy (BOP). Equipment, furniture, improvements, and general liability in one policy, with clinic add-ons like equipment breakdown, spoilage of vaccines and samples, and business income if you have to close.
  • General liability. Slip-and-falls, damaged property, advertising claims, and the other things malpractice won't pay. Most landlords require it before you sign a lease.
  • Malpractice (professional liability). Written directly for PAs, NPs, nurses, therapists, and other allied providers, with physician coverage placed through partner carriers.
  • Cyber liability. HIPAA breach notification, credit monitoring, legal review, fines, ransomware response, and lost income while systems are down.
  • Employment practices liability (EPLI). Claims by employees: wrongful termination, discrimination, harassment, and wage disputes.
  • Umbrella and hired/non-owned auto. Extra liability limits, plus coverage when an employee drives their own car on clinic business.

For the owners: personal auto, home, umbrella, and motorcycle for practice owners and staff who'd rather have one agent who already knows them. Se habla español · Falamos português.

Why it matters for a practice

Workers' comp premium is a percentage of payroll. Pay-as-you-go workers' comp is billed from each payroll run. At year end, the carrier audits actual payroll against the estimate and sends a bill or a refund. The practice whose bookkeeper and insurance agent are in the same conversation gets the estimate right, the classifications right, and no surprise in January.

The same is true at tax time. Insurance premiums, equipment purchases, and owner compensation all land on the return; a preparer who already has clean books and knows what the practice carries files faster and finds more opportunity. And the equipment list your property policy relies on is the same list your depreciation schedule needs.

How it works together

  • You can use either firm without the other. Nothing is bundled, and neither firm sees your data from the other without your say-so.
  • If you use both, we set up pay-as-you-go workers' comp straight from payroll, keep audit paperwork ready all year, review coverage when headcount or equipment changes, and hand the year's numbers to the tax side without you re-sending anything.
  • Opening a practice? One intake covers entity setup, payroll, the tax elections that matter in year one, and the insurance a landlord and a hospital contract will ask for.
